We guarantee that your trip will meet the high expectations we set, or we will gladly give you a credit toward a future trip. We’re so confident our hands-on field research adventures will meet the quality standards we promise that we stand behind them with what we believe is the best guarantee in the travel industry. Should you discover a disparity in what we have promised versus what you experience, we will compensate you. Of course, we can't control nature or natural circumstances such as weather and wildlife movements, and such circumstances outside our control are exempt from this guarantee. But when it comes to the inclusions, activities, accommodations and guiding we have arranged, we'll deliver—we guarantee it! The important part of our guarantee is that your trip must meet the expectations set on our website, not unreasonable expectations that do not match the promises we’ve made. Earthwatch Expeditions will make all final decisions on trip credit amounts.The Best Trip at the Best Price
We believe we offer an incomparable field research travel experience when you take into account our expertly designed trips that include unique itineraries and exclusive access, remote wild locations, exceptionally small groups and highly qualified naturalist Field Guides. But, should you come across a matching itinerary of our quality at a lower price, even within 30 days after booking with us, we will happily refund the difference. Here are the restrictions: You must notify Earthwatch Expeditions within 30 days after your initial booking with us; the other company must be a U.S.-based field research travel tour operator (not a travel agency) that is actually participating in the operation of the trip rather than merely booking another company’s product; you must email, fax or send us the company's brochure that indicates who they are and includes specific trip details, or direct us to the company's website; the trip must be of equal quality with the same or a very similar itinerary; the departure dates must be the same or very similar, not dates that fall during what we would consider a different season; the trip must be actually available from the company offering it, not a “base price” offered on a minimal number of departures. The trip cannot be a “fire sale” offer of unused inventory. Here are the parameters within the trip itself: All inclusions must be similar; accommodations must be similar; the group size must be the same or fewer; the guide's level of expertise must be comparable; if the itinerary is a slightly different length, we will prorate it. Should the other trip include airfare where ours does not, you must ask the other company to quote you a land-only rate.
Rest Assured... We Won't Cancel
While many companies often cancel trips due to low enrollment, we don’t! This policy gives our travelers security and peace of mind in knowing your travel plans are virtually guaranteed. If you book with us, you’re going! On rare occasions outside of our control, circumstances may arise that may force us to cancel a trip — if a country prohibits access, for instance, or if a supplier, such as a ship or a hotel operator, cancels our accommodations. Should such an unexpected event occur, we will do everything we can to move you to a comparable trip, but we cannot guarantee we will be able to do so. Additionally, should traveler numbers on a specific departure fall below a certain number, some activities and services, including the size of vehicles and number of guides, may be altered to be more consistent with a smaller group.
Refer a Friend...Get a $250 Trip Credit
Earthwatch Expeditions is a participatory science travel company with a family spirit, and our guests frequently refer friends and family to us so that they too can experience hands-on field research alongside world-class scientists. As a gesture of our appreciation, we will provide you a gift card for $250 off a future trip of your own when you send us a referral who books a trip with us!
When you refer a traveler to Earthwatch Expeditions, we will send them a catalog with a letter indicating that you thought they might be interested in one of our adventures. To receive the $250 referral credit, we ask that you provide us with the referral’s name and physical mailing address, either by calling your Adventure Specialist, filling out the online or business reply card referral form, or providing the name and address on your post-trip evaluation form. That referral must then book a trip. Referrals must be first-time Earthwatch Expeditions travelers who live in a separate household (i.e., not immediate family members). The $250 gift card will be awarded per traveler. The $250 gift card will be awarded per booking party referred, not on the number of passengers booked. For example, if you refer a friend who eventually books a trip for herself and her family of four, you will receive four $250 gift cards. Trip participants living in the same household are not counted toward rewards. Guests may use only two gift cards per trip booked ($500 discount). Gift cards are transferable. Gift cards will be sent within 30 days of travel completion.
Accommodations Selected for Proximity to Research and the Natural World
Earthwatch Expeditions carefully selects accommodations as a core part of the experience, prioritizing locations that place guests as close as possible to the ecosystems and research sites. Rather than opting for more luxurious options farther away, we choose well-situated accommodations that allow for full immersion in the environment and direct engagement with the scientific research.
These accommodations may include research stations, remote lodges or small field camps designed for working in natural settings, sometimes alongside scientists. While comfort is always considered, proximity to the research and authenticity come first. On some expeditions, we also incorporate established lodges that support access to the destination, along with comfortable, convenient stays in gateway cities at the beginning and end of the journey.
All accommodations include private toilet and shower facilities unless otherwise noted on the trip page. Single, triple and quad accommodations are not always available. Double accommodations may include two twin beds or one double, queen or king bed.

You’ll notice that our groups are purposefully the smallest in the industry, an element of our journeys that is vital to providing the finest field research trips on the planet. With this in mind, we thank you for understanding if a specific departure is limited in terms of available space. To book your trip...

Book Online
Most of our trips can be booked online—an expedient option, since our small-group departures tend to fill fast. Find the trip you’d like to join and click on the “Book Now” button. Your spot will be reserved immediately, but please note that online reservations are not guaranteed until an Adventure Specialist contacts you to confirm your booking and take your deposit.
Reserve Your Spot
Most of our trips require a $500 deposit to reserve your space. The exact deposit amount for each trip, along with the cancellation policy for that trip, is listed on the individual trip pages on our website. Your deposit can be made by Visa, MasterCard, Discover, American Express or eCheck. Some deposits are nonrefundable. All prices are in U.S. dollars.
When you book one of our adventures, you agree to sign our Guest Trip Agreement, which states that you and your party have read and understood the important information in our Terms & Conditions, including a release of liability, and agree not to sue Earthwatch Expeditions or its participating agents or representatives. On payment of a deposit, you agree to be bound by our Terms & Conditions. We require that these forms, including your completed Booking Form, are submitted within 14 days of making your initial booking and deposit. Failure to do so may result in the cancellation of your booking with no refund beyond that which is listed in our cancellation policy.
Receive Confirmation
Upon booking, you will receive confirmation and link to your customized Adventure Portal, which hosts initial documents including invoice, trip forms, air travel information, visa and vaccination requirements (if any), and more.
Trip Forms
To enhance our service for our guests and to reduce paper waste, Earthwatch Expeditions provides all forms online, including our Terms & Conditions, Guest Trip Agreement, Booking Form, Insurance Form, and Payment Authorization Form. Links to these forms will be sent by email. These forms must be submitted online within 14 days of booking.
Final Payment
Final payment for most trips is due 120 days prior to departure. Some trips require the final balance to be paid earlier. Please consult the specific trip page on our website for details. For our guests’ convenience, the final balance will be charged to their credit card on the final balance-due date, unless the guest indicates in writing prior to the final balance-due date a preference to pay by alternate means. If payment is not received by the final balance-due date, the reservation is subject to cancellation.
Receive your Pre-Departure Briefing & Preparation Materials
Preparing Earthwatch Expeditions travelers for their adventures is a priority for us. Approximately one to two months prior to departure, you will receive a comprehensive Pre-Departure Briefing with details about your trip, destination, the history and wildlife of the region, what to pack, and how best to prepare. We can also send your Pre-Departure Briefing electronically if you indicate this preference.
Trip Cancellation & Refund Policy
Earthwatch Expeditions understands how disappointing it can be in the event you are forced to cancel or change your long-anticipated adventure. But we, too, plan far ahead before each departure and continuously send nonrefundable payments to hotels and other suppliers. Therefore, we must strictly adhere to our cancellation and trip change policy for all guests. We strongly suggest purchasing travel insurance in the event a guest must cancel or otherwise change their plans.
The following are the terms of Earthwatch Expeditions’ cancellation and trip change policy:
All cancellations processed 121 or more calendar days prior to departure will incur a $100 cancellation fee per person. Some trips and extensions have nonrefundable deposits. Please consult the specific trip page on Earthwatch Expeditions’ website for details.
Cancellations made 61 to 120 calendar days prior to departure are assessed a cancellation fee of 50% of the entire trip price, including internal air, extensions, and extra services such as hotel nights.
Cancellations made 60 calendar days or less prior to departure are assessed a cancellation fee of 100% of the trip price, including internal air, extensions, and extra services such as hotel nights.
Deposits for a private booking of a scheduled trip or extension where a guest has reserved the entire or partial departure through our Make it Private program are double the listed individual trip deposit amount and are nonrefundable.
All cancellations and trip change requests must be made in writing by mail or by email and received and acknowledged by Earthwatch Expeditions. Travel insurance purchased through Earthwatch Expeditions is completely nonrefundable after the 10-day review period.
In the event either Earthwatch Expeditions or the guest changes, reschedules or rebooks a trip or extension, including custom-designed trips and custom-designed extensions, for any reason, including, but not limited to, force majeure, the cancellation and trip change policy as of the date of the original booking shall remain in full force and effect. For example, for any cancellation or trip change received between 61 to 120 calendar days prior to the departure of the originally booked date, a fee of 50% of the entire trip price, including extensions, will apply for the revised date regardless of the lead time of a cancellation of the revised departure date. Similarly, cancellations or trip changes received less than 60 calendar days prior to the original departure date shall be assessed a fee of 100% of the trip price, including any extensions, regardless of the lead time of a cancellation of the revised departure date.
Travel Insurance
To help protect your financial liability, Earthwatch Expeditions strongly suggests purchasing travel insurance. Our partner Natural Habitat Adventures has arranged a plan with Arch Insurance Company designed specifically for our guests. Please review our insurance resources page for further details. We will include the cost of the Travel Protection Plan option along with detailed information about coverage on your Adventure Portal. Earthwatch Expeditions asks for your written confirmation of intent to purchase, or confirmation that you decline to purchase, such travel insurance. All insurance purchased is nonrefundable after the 10-day review period. Medical evacuation insurance, either purchased through Natural Habitat Adventures as part of the Travel Protection Plan or on its own, is required for some of our trips. Please consult the "Dates, Prices & Info" section of each individual trip page on our website. In the future, other trips may be added to this list with little or no notice.
The travel insurance coverage Earthwatch Expeditions offers through Natural Habitat Adventures is currently underwritten by Arch Insurance Company, NAIC#11150, and policies are administered by Arch Insurance Solutions Inc. The travel insurance coverage offered is subject to change.

Each itinerary includes a variety of features and elements unique to that specific adventure. Please consult the individual trip pages on our website for a full list of inclusions and exclusions for the trip of your choice.
Gratuities
Earthwatch Expeditions has made a concerted effort to pre-arrange tipping for local services so you do not have to carry excessive cash and experience the inconvenience of ‘reaching into your pocket’ at every turn. Regarding Field Guides, field staff and drivers, they are all paid salaries for their work. They will go out of their way to make your trip special and do not perform their jobs just for money. However, staff do accept gratuities should you determine that they have performed their jobs at an outstanding level. Gratuities should reflect your satisfaction with their level of service. Suggested gratuity guidelines will be provided in the Pre-Departure Briefing for each trip.
Earthwatch Expeditions’ Travel Desk
As an exclusive service for our guests, Earthwatch Expeditions offers a full-service Travel Desk that is available to assist with your flight arrangements to/from the start and end points of our trips, plus any required additional nights’ accommodations. Please note that Earthwatch Expeditions’ Travel Desk does not book flights within the United States and Canada and cannot book flights with airline miles. Getting to the Starting Point of Your Earthwatch Expeditions Trip
Earthwatch Expeditions travelers are responsible for getting to and from the start and end points of their trip, obtaining and maintaining all required documents and vaccinations, abiding by all government entry and exit requirements, and for arriving by the designated start time on the first day of the trip. Additionally, guests are responsible for complying with all applicable pre-travel health and safety protocols that may be enacted by Earthwatch Expeditions or government authorities. Should guests be delayed for any reason in getting to or departing from a trip, or must leave a trip early, Earthwatch Expeditions is not liable for any additional costs incurred in joining or leaving the trip (such as costs for accommodations or transportation), nor will guests receive a refund for any missed portion of the trip as a result of a late arrival or early departure.
Documents & Vaccinations
In order to join an Earthwatch Expeditions trip, you are responsible for obtaining and maintaining all required documents and vaccinations and accepting and following all health and safety protocols. These can include, but are not limited to, valid passports, visas and vaccinations. Additionally, you are responsible for knowing and meeting the entry and transit requirements of all countries you will be visiting or traveling through in relation to your trip. Earthwatch Expeditions will provide details on visa and vaccination requirements in your pre-trip materials. For current passport and visa requirements, please visit travel.state.gov as well as individual country websites and/or embassies in the countries visited. Luggage Restrictions
Some of our trips have enforced restrictions on luggage weight, size or type (such as hard-sided luggage). Many vehicles have limited space, and when traveling in light aircraft, overweight conditions can create a serious safety hazard, thus we adhere to strict limits on luggage weight, size and type. All restrictions on carry-on baggage include camera equipment. Guests should pack light and follow the guidelines in our pre-trip materials. Baggage exceeding specified weight, size or type limits is subject to being left behind or forwarded at your expense.
Small Aircraft on Earthwatch Expeditions Trips
On many Earthwatch Expeditions trips, we use small aircraft to access our planet’s most remote and pristine wild areas. Please consult the individual web page for each trip to find more information on aircraft specifics.
Single Travelers
We encourage single travelers to join us! If you are traveling on your own, you can request either a single room or a roommate match. Single-room accommodations are subject to a single-room surcharge, which guarantees a private room without a roommate (where available). See individual trip pages on our website for pricing details. In order to keep our single-room surcharges as low as possible, on occasion single rooms may be smaller than double-occupancy rooms. Single-room accommodations are not available on all trips. Additionally, we cannot always guarantee single accommodations, even after reservations and confirmations have been made.
If you request a roommate match, we will do our best to find a same-sex roommate; and, if we cannot arrange a match, Earthwatch Expeditions will not charge any single supplement fee. Please consult specific trip pages on our website for details. This amount will be charged approximately 60 days prior to departure. On all custom-designed trips, 100% of the single-room surcharge will always apply, as there is no opportunity to arrange a roommate match.
Please note the following policy for travelers who request a roommate match for the trip: If a traveler who requested a roommate match for the trip books any scheduled extensions or pre- or post-trip hotel night(s), the guest will be responsible for the single-room surcharge for the additional service(s). If, however, the traveler’s matched roommate for the trip books any of the same additional service(s), the matched guests will be paired together in a double-occupancy room, at the double-occupancy rate, for all applicable scheduled extensions and pre- or post-trip hotel night(s).
Age Requirements
Due to safety regulations, physical limitations and concerns regarding group dynamics, we do not allow children younger than 15 on our trips. Additionally, some trips, or specific activities within a trip, have higher minimum age requirements. We strongly encourage you to call our office to speak with an Adventure Specialist about the specific requirements of the trip you’re considering so you can make an informed decision about your child’s participation. On all trips, the parents or legal guardians of children under the age of 18 must sign a Minor Permission Waiver requiring guardians to ensure that children in their care do not place themselves, other guests, staff or wildlife in harm’s way, or jeopardize the enjoyment of the trip for the group as a whole.
Guest Conduct & Limitations
Earthwatch Expeditions operates trips in natural areas where unpredictable conditions may exist. To avoid potentially dangerous situations, both for our travelers and for wildlife, it is extremely important that all guests obey the rules and regulations set forth by the Field Guides and/or local guides or other representatives of Earthwatch Expeditions, and demonstrate reasonable consideration and respect for all staff, fellow travelers and wildlife. Disrespectful, inappropriate or lewd behavior, foul language, excessive intoxication, or other behaviors or conditions that could endanger or negatively impact others will not be tolerated.
Physical Requirements
Our trips are intended for individuals in good physical and mental health, with reasonably good mobility. The Physical Requirements section on each trip page on our website provides important information regarding the physical expectations for that trip. Please read this information carefully. Hands-on field research can be strenuous, and it is imperative that guests meet the Physical Requirements for a trip in order to participate, determined solely at Earthwatch Expeditions’ discretion. Should any condition that inhibits a guest’s ability to meet the Physical Requirements, whether physical or mental, become apparent at any point prior or during the trip, we reserve the right to prohibit you from joining or continuing on a trip, subject to the terms of our cancellation policy. Certain trips may require that you obtain medical approval before departure, and Earthwatch Expeditions reserves the right to request additional medical information and/or a physical examination as a condition of your participation. Special arrangements may be made for certain conditions on specific trips only, at Earthwatch Expeditions’ sole discretion.
Dietary Restrictions and Allergies
With ample notice, Earthwatch Expeditions can generally accommodate common dietary restrictions on most of our trips, such as vegetarian, dairy-free, gluten-free (though it may not be possible to accommodate celiac disease—please ask an Adventure Specialist for more information), though limitations on food variety may exist. However, given the nature of our trips, Earthwatch Expeditions cannot guarantee that allergens or items on your restriction list will not be present at our camps/lodges or elsewhere during a trip. Guests are responsible for providing truthful, current and complete details about their dietary restrictions and allergies on the Booking Form. We recommend, and may require for certain trips, that you bring along your own preferred snacks if your dietary restrictions are extensive, as options that meet specialized dietary needs in the remote places we travel to can be quite limited. Ultimately, you must take responsibility for your own health and safety and understand that we cannot guarantee against contamination or airborne transmission.
Cell Phones & Other Electronics
Our adventures are designed to provide our guests with immersive field research experiences. With this goal in mind, we try our very best to minimize the use of electronic devices on our trips. We respectfully ask that guests not use mobile phones or tablets/computers in the presence of other guests, unless such use is an integral component of the trip, as when a phone is used as a camera, or on special photography departures where guests may come together to edit photos on computers in the evenings. This policy is especially applicable in secluded or enclosed areas, during presentations, or at mealtimes when we are often recapping our day, preparing for the next day, or sharing stories of our experiences in the field.
Drones
Drones are not permitted on any Earthwatch Expeditions trip unless specifically part of the research. In this case, permits will be obtained by Earthwatch Expeditions’ scientists
Smoking on Earthwatch Expeditions’ Trips
Travelers may not use cigarettes, cigars, e-cigarettes, vaporizers, marijuana or any other such item in areas where others are affected, such as in vehicles, within enclosed areas, or in the presence of others. Most accommodations we secure do not allow smoking, and additionally, trips generally have limited opportunities where smoking is permissible. Earthwatch Expeditions will not alter or change activities or adversely affect other guests to accommodate those who smoke.
Language Policies
Earthwatch Expeditions’ trips are conducted in English. You must have a proficient understanding of the English language in order to fully enjoy all aspects of the adventure and, most importantly, to fully understand all rules and safety instructions provided by the Field Guide(s). We are unable to provide translated pre-trip materials or translators during the trip.
Itinerary Changes or Cancellation
Adventure travel is inherently prone to complications and alterations. In some circumstances, it may be necessary to change accommodations, transportation, activities or other services, sometimes with little or no notice. In such cases, Earthwatch Expeditions will make reasonable efforts to provide comparable substitutions wherever possible. Earthwatch Expeditions will keep guests updated on any changes that may affect guests’ arrival or departure.
In the event of a force majeure, which shall include, but not be limited to, an act of God, natural disaster, epidemic, pandemic, government-issued travel restriction or advisory impacting any portion of the trip or extension, or any other reason beyond the control of Earthwatch Expeditions, Earthwatch Expeditions may at any time, before or after a trip or extension departure, and without notice, cancel the trip or extension, change the date of trip or extension, increase the price as circumstances warrant, rebook guests on a similar trip or extension, or reschedule the departure date. In the event of cancellation due to force majeure or otherwise, Earthwatch Expeditions shall, in its sole discretion, have the right, upon written notice to guests and without further liability, to terminate the Guest Trip Agreement, and guests shall receive a trip credit in the amount paid for the cancelled trip or extension for use on another Earthwatch Expeditions trip. In the event Earthwatch Expeditions cancels a trip or extension in progress, except in the case of a force majeure, Earthwatch Expeditions shall provide guests a prorated trip credit for use on another Earthwatch Expeditions trip based on the number of days not completed on the trip or extension. In the event of an increase in price in excess of 5% of the original trip price, guests may cancel without charge upon written notice to Earthwatch Expeditions within 72 hours of receipt of notice of such increase, but not later than departure.
Viewing Wildlife
Since most Earthwatch Expeditions trips specialize in viewing wildlife, every effort is made to arrange itineraries to places where wildlife is known to exist. However, the animals we encounter live wild and free, and we cannot fully predict nor control their movements (nor would we want to). In an attempt to locate wildlife that may have deviated from its normal movement patterns, or in the interest of traveler comfort, safety or other circumstances, we may be required to make changes to accommodations, modes of transportation, activities or other itinerary elements, sometimes with little or no notice.
Wildlife viewing may vary significantly due to numerous factors including wildlife movements and behavior, weather conditions, human interference, climate change, and changes in species biodiversity and density in the various locations visited. While Earthwatch Expeditions makes best efforts to provide an outstanding wildlife viewing experience, we cannot guarantee that availability, diversity and/or quantity of wildlife, including what is described in our catalog, website and related imagery.
Marketing Materials
The images shown in our printed materials and on our website represent what our guests have regularly seen on “typical” trips in the past (or in the case of a new or Exploratory trip, what our staff and researchers have previously seen). Due to weather and/or shifting wildlife conditions, some trips may have fewer close encounters with wildlife than we normally anticipate. Also, be aware that some images in our materials are taken with a telephoto lens, and guests should not assume that they will get very close to wildlife in such circumstances.
Limitations of Liability for International EU Cruises
On international cruises which neither embark, disembark nor call at any U.S. port and where Guest commences the Trip by embarkation or disembarks at the end of the Trip in a port of a European Member State, Earthwatch Expeditions shall be entitled to any and all liability limitations and immunities for loss of or damage to luggage, death and/or personal injury as provided under EU Regulation 392/2009 on the liability of carriers to passengers in the event of accidents. Unless the loss or damage was caused by a shipping incident, which is defined as a shipwreck, capsizing, collision or stranding of the ship, explosion or fire in the ship, or defect in the ship (as defined by the Regulation), Earthwatch Expeditions’ liability is limited to no more than 400,000 Special Drawing Rights (“SDR”) (approximately U.S. $550,000, which fluctuates depending on the daily exchange rate as published in the Wall Street Journal) if the Guest proves that the incident was a result of Earthwatch Expeditions’ fault or neglect. If the loss or damage was caused by a shipping incident, Earthwatch Expeditions’ liability is limited to no more than 250,000 SDRs (approximately U.S. $345,000, which fluctuates depending on the daily exchange rate as published in the Wall Street Journal). Compensation for loss caused by a shipping incident can increase to a maximum of 400,000 SDRs unless Earthwatch Expeditions proves that the shipping incident occurred without Earthwatch Expeditions’ fault or neglect. Shipping incidents do not include acts of war, hostilities, civil war, insurrection, natural disasters, or intentional acts or omissions of third parties. In cases where the loss or damage was caused in connection with war or terrorism, Earthwatch Expeditions’ liability for any personal injury or death (whether occurring during a shipping incident or a non-shipping incident) is limited to the lower of 250,000 SDRs per passenger or 340 million SDRs per ship per incident. Punitive damages are not recoverable for cruises covered by EU Regulation 392/2009.
